Assistant to the Pastor

Essential Duties & Responsibilities:

  • The Assistant to the Pastor provides clerical and administrative support to the Pastor and other Clergy. The Assistant to the Pastor also serves as the primary contact for the parish regarding events and scheduling.
  • Maintains the Pastor’s calendar, schedules his appointments and types his correspondence, as necessary.
  • Serves as backup to the Receptionist and other office staff, answering phones, accepting deliveries and other services as required.
  • Responsible for overseeing and maintaining office equipment.
  • Responsible for maintaining the yearly parish calendar for all parish events, masses, funerals, weddings, baptisms, Faith Formation classes and meetings.
  • Assists all ministry leaders with the scheduling of their meetings and keeps the maintenance staff informed of facility usage requirements.
  • Assists with the counting of the weekly collections every Monday and prepares deposit.
  • Assists with preparing checks at the direction of the Business Manager every Tuesday.
  • Manage Background Checks and Safe Environment Certifications for Volunteers and Employees
  • Complete the Annual Report for CMG/Background Checks/Safe Environment every July.
  • Back up for Sacramental Records
  • Assists ministries with forms for sign-ups, payment tracking, coordinates online process for Men’s Club Fish Fry passes & Women’s Club flowers at Easter & Christmas.
  • Resource for Parish Clergy including Deacons responsible for weddings, annulments, etc.
  • Responds to funeral homes & funeral ministry volunteers for scheduling and preparing funeral programs.
  • Participates on the Tithing Committee.
  • Organize and attend the Opening of the Mass Intentions Book every October.
  • Respond to inquiries to general parish email/website including distribution of new parishioner registrations.
  • Works cooperatively with ministries on weekly/monthly slide shows for parish events like Country Breakfast & Fish Fry.
  • Distribution of monthly clergy schedule to answering service.
  • Responsible for managing the phone system, communicating holidays and other pertinent information to Ring Central, as well as appropriate messages for closings and special holidays masses.
  • Attends monthly Liturgical meetings and takes minutes.
  • Assumes and/or performs additional related duties as requested and assigned by the Pastor.
  • Support and assist with Parish/Diocesan wide events as needed.

Education and/or Work Experience Requirements, Skills & Abilities:

  • Candidates must be of the Roman Catholic faith and be familiar with the Church and its administrative and organizational structures.
  • Ability to operate business office equipment, i.e. adding machine, copier and demonstrated competence in computer, preferably MAC.
  • Good understanding of the English language, both written and spoken.
  • Effective working knowledge of Microsoft Office programs and an ability to learn and use various database management systems.
  • Maintain confidentiality in all areas of responsibility.
  • Have advanced computer and typing skills.
  • Able to work independently without supervision.
  • Candidate must successfully pass a Level II FBI Background Screening and complete Safe Environment Training before employment.
