DEPARTMENT: Administration EXEMPT

SUMMARY:
The Facilities Manager is responsible for managing the day-to-day operations of the properties and grounds of the Franciscan Sisters of Allegany on Perry Avenue: The former St. Elizabeth Convent, The Sisters’ House and The Franciscan Center. This includes building maintenance, administrative duties, budgeting, purchasing; working with the FSA Information Technology Manager regarding all internet and technology needs; and other duties that may be assigned.
The Facilities Manager is to be available to be contacted and is expected to handle or assist with operational issues that may arise during non-business hours.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

1.Ensuring all Allegany Franciscan Sisters, employees, co-workers, vendors, visitors, etc. are protected in a safe environment.
2.Projecting a positive, professional attitude along with displaying patience and calm under varying circumstances.
3.Overseeing/handling maintenance and upkeep of buildings, equipment, vehicles and grounds. Assures daily maintenance tasks are performed.
4.Procures equipment, furnishings & vehicles when needed.
5.Selects & supervises outside contracted vendors.
6.Develop a strategic plan for the facility when required by Congregational Leadership and update such plan when necessary.
7.Participating in the planning, preparing and evaluating the annual budget with appropriate personnel. Reviewing financial statements to ensure expenses are accurate, appropriate and within budget.
8.Communicating regularly and working collaboratively with FSA Congregational Leadership and Congregational Staff Managers to ensure consistent and appropriate application of policies and procedures.

  1. Monitor systems and provide diagnostics, preventative maintenance, annual testing, permitting, and certification for all major building systems, looking for deficiencies, potential safety, health, or code problems and necessary.
    10.Ensure all emergency, routine maintenance/repairs are carried out in a timely and professional manner.
    11.Coordinate deliveries of supplies as needed by respective departments (kitchen, housekeeping, etc).
    12.Ensure proper safety procedures are followed and personal protective equipment is used.
    13.Manage process for keys, coring and coding of locks and maintain lock procedures, logbooks and protocols for key management.
    14.Fire prevention management – sprinklers, extinguishers, carbon monoxide safety, smoke detection, emergency lighting, egress routing.
    15.HVAC evaluation and management.
    16.Superior interpersonal relationship-building skills with vendors and contractors
    17.Superior problem-solving and leadership
    QUALIFICATION REQUIREMENTS:

    EDUCATION and/or EXPERIENCE:
    A minimum of an associate degree and 5-10 years of related experience in facility management or an equivalent combination of education and experience is required.
    FSA REQUIRES:
  1. Ability to read and interpret documents such as design drawings, blueprints, safety guidelines, operating and maintenance instructions and procedural manuals.
  2. Ability to manage multiple projects simultaneously, set priorities and meet deadlines.
    •Proficient in Microsoft Office.
